This policy explains what data FleetFlow collects, why, how long we keep it, and the rights you have. FleetFlow is operated by Roadevino BV ("we", "us"), Sint-Daniëlstraat 7, 9050 Gent, Belgium.

01 Who we are
The data controller is Roadevino BV, enterprise number 1003.780.447, registered in Belgium. For any privacy question you can reach us through the contact form on our About page.

02 Data we collect
Account and billing details; vehicle, rental, maintenance and damage records you enter; GPS location and diagnostics relayed by your trackers; files you upload such as damage photos; messages you send us; and basic technical data needed to run and secure the service.

03 How we use your data
To provide and operate the platform, show your fleet on the map, generate invoices, provide support, keep the service secure, and meet our legal obligations. We do not sell your data.

04 Legal basis (GDPR)
We process data to perform our contract with you, on the basis of our legitimate interest in running and securing the service, to comply with the law, and — where required — with your consent.

05 Data retention
On paid plans we retain fleet data points for 5 years, including damage photos. On the Free plan, location history is kept for 24 hours. You can request a selective export of your data at any time and keep it for as long as you wish; legally required records (e.g. invoices) are kept for the statutory period.

06 Sharing & processors
We share data only with the processors needed to run the service — for example hosting and S3-compatible storage providers, tracker-adapter servers, and payment providers (SumUp, Wise, CMI) — under data-processing agreements. We never sell personal data.

07 International transfers
Where data is processed outside the EEA, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.

08 Your rights
You have the right to access, correct, export, restrict or delete your personal data, and to object to certain processing. You also have the right to lodge a complaint with the Belgian Data Protection Authority (gegevensbeschermingsautoriteit.be).

09 Cookies
The public website uses only essential cookies and stores small preferences (such as your chosen language) locally. We do not use advertising trackers.
